Office Manager

Responsible for Organizing and Directing all reporting and billing functions of the Branch Business Office. These responsibilities include receiving and proper dispatching of gas and service calls, direct selling to walk-in customers, researching customer service inquiries, receiving payments, making bank deposits, mail pick up and delivery, and training of secretaries.

Responsible for direct communication with customer , posting of charges and payments to customer accounts, dispatching of gas or service calls, preparation of monthly statements, and to prepare all reports required by a Branch Office.

Employee must be at least 18 years of age with a 2 year degree in Business Office Administration, or equivalent experience. A working knowledge of Accounts Receivable and Spreadsheets is required.

Machines, Tools & Equipment:

Operation of computer, printer/copier, and calculator. Experienced at using spreadsheet is a plus..

Worker Traits:

Physical ability to sit for long periods of time analyzing customer information, entering data into computer system, or conversing with existing or potential customers. Also, ability to stand at office counter and service walk-in customers.

Verbal ability to communicate effectively with customers and employees.

Organizational ability to set up systems to monitor sales, collection efforts, service account status, inventory records, and customer growth.

Numerical ability to prepare weekly & monthly reports, maintain accounts receivable and customer records.

Temperaments:

Employee must have the ability to plan each days activities and the organizational skills necessary to work on multiple tasks at the same time. Tact is required to deal effectively with customers, especially in dealing with problem calls or customer complaints.

Physical Demands & Working Conditions

Job requires walking, sitting or standing for long periods of time. Peak winter season requires Saturday work and some amount of overtime in order to keep accounts posted up.

Hazards:

Since this job is primarily data entry and handing paperwork most of the day, the potential hazards would possible eye strain or fatigue resulting from entering account data for long periods of time.
